Selection frameworkBuild a smaller, safer software stack
Check what your institution already provides before creating a personal subscription. Microsoft 365 desktop apps depend on the school’s licence, while the free web route is a different product. A university can also provide collaboration or diagramming tools that remove the need for a second account.
Avoid overlapping systems. Notion, Craft and Basecamp can all organise work, but their collaboration model and education eligibility differ. Choose one place for tasks and notes, then export or back up important academic material rather than scattering it across several free plans.
Privacy and exit planning matter. Password managers should be secured with a strong unique master password and recovery plan. Survey tools can collect personal data, so ask only for information the project genuinely needs. Website, budgeting and virtualisation subscriptions need a reminder before the education period or discount renews.
